Questions and answers
Everything hosts usually ask before booking The Harlow Exchange.
Booking and pricing
How much does it cost?
Rentals start at $275 for one hour, and the hourly rate drops the longer you book: 3 hours is $475, 4 hours is $600, 5 hours is $700, 8 hours is $950 and 12 hours is $1,200. See every rate.
Is the rate the same on weekdays and weekends?
Yes. Every day of the week carries the same hourly rate. Weekday dates often have more availability on short notice.
How do we book?
Choose your date and hours on the booking calendar and pay a 30% retainer. As soon as the retainer is paid, the date is yours.
How does payment work?
A 30% retainer confirms your booking and holds your date; it is non-refundable. The balance is due seven days before your event. Pay by credit card, e-transfer or cash.
Is there a security deposit?
Yes. A $1,000 credit card authorization hold is placed about 72 hours before your event. It is released after the post-event walkthrough, within five business days, when the space is returned as you found it.
What if we need to cancel?
Cancel more than seven days before your event and the 30% retainer is kept. Within seven days, 50% of the rental fee is kept. Full terms are in your rental agreement.
Do we need event insurance?
Yes. Renters carry general liability insurance for their event and share proof on request. Ask us and we will suggest a local broker.
How long can we book?
Anywhere from one to twelve hours, in one hour blocks. Events wrap by 10pm, and cleanup can run later. If your event runs over, overtime is $250 per half hour.
Does setup time count in our booking?
Yes. Your booking covers everything from the moment you arrive to the moment you leave, so build setup and teardown into your hours. Most hosts add about an hour before guests arrive.
Can we see the space before booking?
Yes. Start with the four minute virtual tour. To walk the loft in person, request a private viewing and we will set a time.
The space
How many guests fit at The Harlow Exchange?
Up to 50 people at any time, seated or standing. That count includes everyone in the space: guests, vendors, caterers and performers. The 3,700 square foot hall gives 50 people plenty of room to move, mingle and dance.
Is the venue private during our booking?
Yes. Every booking is exclusive. The full second floor, the prep room and the kitchenette are yours for every hour you reserve, with one event at a time.
What furniture is included?
Eight white Chiavari chairs, two wooden dining chairs, a bar stool, a gold velvet lounge set with coffee table, an antique chaise, an antique writing desk, a black wooden table and three 6 foot folding tables. For more seating, we share a list of rental partners once you book. See everything included.
Can we play music?
Yes. Two Bluetooth speakers are included: a JBL speaker and an XL rolling party speaker with LED light rings. Planning a DJ, live band or dancing? Tell us when you book and we will confirm the details for your event.
Can we decorate?
Yes. The loft is a blank canvas of brick, white columns and hardwood. Bring florals, balloons, linens, signage and lighting, and style it however you like. Confetti, glitter and fog machines need written approval first.
Can we use candles?
Open flames, including candles, need written permission first. Flameless LED candles are welcome any time and look lovely against the brick at dusk.
Food and drink
Can we bring our own caterer?
Yes, any caterer you like, with no required vendor list. The 500 square foot prep room has a kitchenette with a sink, microwave, mini fridge, water cooler and two coffee machines for staging and service.
Can we bring our own food, cake and desserts?
Yes. Potluck spreads, a favourite bakery, a dessert table, a family recipe: all welcome. The kitchenette and folding tables make serving simple.
Can we serve alcohol?
Yes. Private events that serve alcohol in Manitoba usually need a Social Occasion Liquor Permit from the Liquor, Gaming and Cannabis Authority of Manitoba. Your caterer or bartender can help you apply.
Getting here
Where do guests park?
Several public lots sit within half a block of 70 Albert Street. Street parking is free for two hours on Saturdays and free all day Sunday. The venue is two blocks from City Hall and a short walk from Portage and Main, with transit nearby.
Is the venue accessible?
The Harlow Exchange is on the second floor of an 1880 heritage building. Guests enter at the corner of Albert Street and McDermot Avenue and climb about 25 stairs. A 6 x 7 foot service elevator runs from the rear alley loading dock, which sits about 3.5 feet above the alley, so it is set up for vendor load-in. If a guest has mobility needs, call us at (204) 400-5700 before booking and we will plan it together.
How do vendors load in?
Through the rear alley. A 6 x 7 foot service elevator rises from the loading dock straight into the suite, so caterers, florists and rental companies can bring in equipment easily. Vendors load in during your booked hours.
